BRIEF DESCRIPTION OF SCHOOL:


Lancers International School is an International Baccalaureate World School offering the IB PYP, MYP and

the DP. We also offer IGCSE in grades 9 - 10. The School is a co-educational day cum boarding school for students aged 18 months - 18 years. The curriculum is unique and ensures high-quality learning that lays the foundation for holistic education for children. We are a school where learning is investigative and creative, giving children every opportunity to develop academically, physically, emotionally and aesthetically.

THE DIPLOMA COORDINATOR SHOULD:


  • Coordinate all IB diploma activities at the School

  • Keep complete records of IB publications on file

  • Ensure that accurate student records are maintained

  • Create internal assessment deadline calendar for each two year period, and ensure that

  • all relevant documentation reaches IBO in time.

  • Coordinate the final examinations in addition to orals and mock examinations, working

  • with the school examinations officers

  • Analyse the overall IB results across the school and to oversee the analysis of individual

  • department results by HOD’s

  • Ensure that textbooks, resources and facilities are available according to the needs of

  • the diploma Programme

  • Line manage and performance-manage the CAS coordinator(s) and teacher(s)

  • responsible for TOK

  • Contribute to the marketing of the programme within and outside the school


ADMINISTRATIVE RESPONSIBILITIES RELATING TO DIFFERENT CONSTITUENCIES

A. Students


  • Provide comprehensive information on the diploma programme, its aims and

  • requirements to bothinterested students and students enrolled in the diploma

  • programme

  • Oversee the student selection procedure

  • Be informed of the development of each diploma student

  • Discuss with the student and consult with the IB diploma staff and/or the tutor about

  • necessary changes in subject options and other actions concerning the student's

  • academic or personal development

  • Ensure that candidates meet programme and examination requirements and fulfil IBO

  • regulations

  • Ensure that candidates are informed of the exam procedures and the services provided

  • by the IBO (enquiries upon results, legalisation) and that the services are executed

  • where necessary

  • Ensure that examination transcripts / diplomas / certificates are distributed to

  • candidates upon receipt from IBO

  • Accommodate transfer students by liaising with their previous school and/or provide

  • the receiving school with necessary information

  • Set up and administer systems whereby student progress is monitored and ensure

  • appropriate action is taken by IB teaching staff


B. Parents


  • Provide comprehensive information on the IB Diploma programme to interested parents;

  • Create a comprehensive Handbook of the programme offered by the school ,including the rules and regulations of IB to inform parents and students.

  • Ensure that parents' meetings/ telephone information sessions are organised at least once a year

  • Ensure that parents are consistently informed of the performance of their children


C. IB Diploma staff


  • Provide to IB staff a service of advice and support including providing each member of staff with occ access and monitoring their use of it.

  • Organise regular staff meetings for review of student progress and discussion of appropriate strategies to ensure best performance of the IB programme in the School

  • Ensure that all IB staff have access to relevant publications and updated resource materials, and thus are fully informed of current programme content and subject requirements

  • Ensure that all IB staff are informed of and adhere to IBO regulations

  • Keep IB staff informed of current IB diploma developments as announced in Coordinator Notes, the Vade Mecum and correspondence from the IBO

  • Ensure that all IB staff are informed of the relevant assessment procedures

  • Together with the IB staff, establish an internal calendar of deadlines, in order to spread the student and staff workload over the two years and ensure they are adhered to.

  • Ensure adequate supervision of the teaching of externally taught and self-taught languages

  • Administer the Extended Essay procedure and supervise the staffs' guidance of students

  • Liaise with the teacher responsible for TOK to ensure that the programme is well administered

  • In conjunction with the CAS Coordinator, establish the process of monitoring students in their CAS activities to ensure that all students perform appropriate activities as outlined in the CAS Coordinators job description.

  • Liaise with the Counsellor/Careers Advisor (where applicable) to ensure that there is adequate information and guidance about further studies, careers and scholarship opportunities, that students obtain the appropriate references and that transcripts are forwarded to universities

  • Liaise with the librarian regarding the provision of resource books and other relevant matters

  • Coordinate staff’s participation at workshops

  • Inform newly appointed IB staff of all relevant aspects of the programme


D. School administration/management


  • Keep the Senior Management consistently informed of IB diploma developments

  • Participate in the selection of IB diploma staff

  • Liaise with those responsible for the timetabling to ensure that the requirements of the programme are complied with in the timetable

  • Ensure significant IB events (e.g. exams/CAS events/workshops) are entered onto the School calendar.

  • Notify the accounts department of payments due, where applicable


E. IBO offices


  • Serve as liaison between administration, IB staff, students, parents and the IBO and thus handle all relevant communication with the different offices

  • Be familiar with all procedures as listed in the Handbook of procedures.

  • Ensure that administrative procedures be carried out correctly and that deadlines be kept according to IBO instructions

  • Keep copies of all correspondence with IBO including forms, documents, reports ensure that conditions for the conduct of the examinations are fulfilled
